Circulation Clerk – Part-time (contract)

Duties and responsibilities

  • Greets patrons in a warm, welcoming, and respectful manner.
  • Registers, renews, and modifies library membership, determining eligibility and membership type.
  • Registers patrons for library programs and maintains registration lists.
  • Registers patrons for Centre for Equitable Library Access and/or Visiting Library Service.
  • Promotes upcoming programs, collections, resources, and library services.
  • Provides informal instruction and assistance to build skills of library users, including the use of self-check equipment, the library website and the library catalogue.
  • Performs basic to moderate searches in the Integrated Library System at the patron’s request and directs patrons to the correct area, service, or staff member. Providing basic reader’s advisory services.
  • Checks out and renews library materials.
  • Places holds for patrons and manages the holds shelf.
  • Collects items from the book bin, checks items for damage, and checks in materials.
  • Processing daily reports, including holds, overdue and billing notices. Bills and contacts patrons about lost and/or damaged items.
  • Attempts conflict resolution/resolves customer service issues, within the scope of library policies, before referring them to the Management Team.
  • Completes opening and closing procedures, including ensuring security of the Library facility.
  • Helps the public with printers, scanners, and photocopiers.
  • Manages payment transactions and opens and closes the till.
  • Assists patrons in person, by phone, and by email.
  • Maintains general cleanliness of the circulation area.
  • Modifies item records.
  • Answers the main phone line for the library and transfers calls as needed. Checks the library voicemail daily.
  • Assesses and performs minor repairs to damaged items when appropriate.
  • Assists with Technical Services and Information desk as required, at the discretion of the Circulation Coordinator/CEO.
  • Assists with major library events.
  • Performs other duties as required to support library operations.

What do you need to bring to this position?

  • Ontario Secondary School Diploma, or equivalent. Library-related education or experience would be considered an asset.
  • Ability to use an automated library system is considered an asset.
  • Excellent working knowledge of Microsoft Office software applications, including Excel, PowerPoint, Word, and Outlook.
  • Ability to project a positive, helpful image to the public.
  • Ability to cooperate with other staff to ensure effective and efficient delivery of library service.
  • Strong work ethic with the ability to work independently, under pressure and with keen attention to detail.
  • Excellent people skills including the ability to work effectively in a team environment and to exhibit courtesy, tact, and diplomacy in dealing with the public, Town officials, Board members and other members of staff. Ability to always adhere to confidentiality requirements.
  • Possess the physical ability to perform the essential duties of the job.
  • Ability to provide an acceptable current criminal reference check.
  • Demonstrated commitment to continuous professional development.
  • Experience working within a Library is considered an asset.

Health and safety requirements

  • To be familiar with and practice Library-specific health & safety policies and procedures, as well as adopted related policies established by the Town of Bracebridge, and to provide a Police Record Name check as a condition of employment.
  • To be familiar with and comply with the provisions of the Occupational Health and Safety Act and Regulations and achieve a Certificate of Completion for the Ministry of Labour Occupational Health and Safety awareness training.
  • To take every possible precaution to protect themselves and fellow workers from health and safety hazards and unsafe situations.
  • To report unsafe acts or conditions to their supervisor or the Library’s Health & Safety Representative or any contravention of the Occupational Health and Safety Act.
  • To report any occupational injury or illness immediately to their supervisor.
  • To use personal protective equipment, where required.

Physical demands and working conditions

Hours

Up to 28 hours weekly. This position is a part-time contract for up to 6 months, with the possibility of extension –  shift work will be required, including evenings and weekends.

Physical

Requirement for sufficient physical ability and mobility to work in an office setting and a field environment; to sit for prolonged periods; to routinely lift and move shipments in boxes up to 40 lbs.; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to assemble minor furniture acquisitions.

Environment

  • Work is conducted in an office environment with some exposure to criticism from the public; proximity to staff-used printer/fax/copier; frequent exposure to paper fibres and dust.
  • Requirement to juggle priorities, meet deadlines, verbally communicate to exchange information, and deal with constant interruptions and changing demands during a working day. Work outside normal working hours may be required occasionally.

Compensation

$22.71 – $26.57 per hour, commensurate with education & experience.
